When a small campaign organizer is enough
If you already know which businesses to approach, the immediate problem may be keeping contact notes, placements, invoices and mailing paperwork together. That is the workflow 9x12 CRM advertises. Its campaign canvas and USPS data-copying extension deserve a look alongside the contact manager.
For that operator, paying more for prospect discovery may not solve the current bottleneck. Start with the Basic plan's included features and campaign limit, then test the canvas and paperwork with the card you actually intend to mail.
Keep future features out of the decision. The reviewed site lists Gmail/email integration and other Pro capabilities as coming soon. The comparison here does not treat those as available Basic functionality.
When the empty prospect list is the problem
9x12 Tools starts the prospecting workflow from saved routes. It discovers businesses in the campaign area, deduplicates and ranks them, and supplies available contact details. You can adjust the target categories, work the queue and use the Lead Book to find an existing relationship.
Outcomes determine the follow-up. An interested conversation gets another action date; a later sale is what makes the relationship won. The individual record keeps incoming inquiries, outreach, invitations and a linked order together.
The first 50 generated leads are workable free. Paid plans continue discovery in batches as you review prospects, where more businesses are available. The software helps you choose and remember the work; you still qualify the prospect and sell the placement.
Follow one advertiser beyond the invoice
9x12 CRM advertises invoices and revenue tracking. Its public page does not show enough of the checkout and proof-review flow to judge every handoff. During the trial, trace one advertiser from an agreed placement through payment, sold status, artwork submission and approval.
In 9x12 Tools, successful spot checkout connects the buyer, payment, sold inventory and lead. The advertiser uses a private placement workspace to supply information and review artwork. Approval or a change request belongs to the current version, so an older approval does not silently approve a replacement proof.
That connected advertiser workflow is a reason to compare the broader platform. It is useful when payment reconciliation and chasing approvals are taking time, not just when you want somewhere to store contacts.

Where 9x12 Tools is the better fit
- You need help finding businesses in your mailing area before you have a contact list to organize.
- You want route selection, prospecting and paid spot inventory attached to one campaign.
- You want advertisers to approve a particular artwork version through a private placement workspace.
What to check before choosing
- Choose the lower-cost Basic organizer if its contacts, canvas and paperwork cover your actual jobs.
- Confirm the payment-to-sold-status and advertiser approval flow in their trial; a missing homepage description does not establish a missing feature.
- Compare included Basic capabilities rather than upcoming Pro email or team features.
